HEAD OF OPERATIONS – PROPERTY MANAGEMENT


General duties:
•To Assist the Managing Director in achieving the goals and plans for the business;
•At all times seek out exceptional service delivery for the asset, and its teams;
•To ensure that there is “an excellent culture in ways and behaviours” are effectively communicated to the PM team and they all embrace this ethos and enhance the clients experience of the company Brand at every touch point;
•To create, develop and adjust where needed the PM structure, processes, procedures, staff development strategies, services development strategies, etc.).
Property Management:
•To take full accountability of all property, assets, investment and third-party clients across the PM portfolio as detailed within the contract terms;
•Ensure each asset has full Business Plans to include full P+L, NOI, aims and objectives, performance targets CAPEX and OPEX, the same must be approved and signed off by the client and the board;
•Take full ownership and accountability of the property / retail / office division on a full P+L basis, reporting monthly to the board;
•To maintain all properties /retail/ office in very high standard expected of PM and keep all in a ready for sale state;
•To take an active part in all redevelopment/ capex projects undertaken on the properties, support the onsite teams during delivery of those;
•To manage all properties /retail/ office in a professional and diligent manner that will further enhance the reputation of PM as a business;
•To keep all properties /retail/office in a sound, risk free, health and safety conscious manner;
•To create and develop a strategy to ensure PM standard and clients’ requirements are applied to technical services across all managed properties in relation to third party services providers, maintenance plans including prevention programmes, asset registers, equipment lifecycle programmes, statutory compliance, guarantees and warranties, technical documentation, procurement procedures, tenant co-ordination.

PM Team management and development:
•Maintain the PM team to a high level of training and awareness of the latest industry best practices and market knowledge.
•To manage the PM team to ensure high standard of services is provided to the clients and internally
•To respond to the internal and external environment in developing, agreeing and supplying common (inter-departmental, intercompany – i.e. AM/PM) procedures, lines of communication, shares of responsibilities in delivery of clients’ business plans, re-development projects, daily tasks, etc.
•To set up on-site teams including recruitment, training, agreeing roles and responsibilities, setting up office, etc.
•To oversee the performance of the onsite teams in all aspects of the property operation, answer all queries, provide guidance and support, liaise with the asset manager, provide recommendation
•Provide guidelines and support to the on-site teams building relationships with the retailers
•Support the on-site teams in their relations with external bodies, the client etc.
•Support the marketing director in provision of marketing strategies and execution of marketing actions
•To assess and develop potential of employees and to promote within organization to ensure satisfaction, motivation and performance.
•To create perception of PM as a good and preferred employer
Business Development:
•To maintain current business instructions and organically grow new instructions with existing clients. Develop new business and actively seek out opportunities with new clients at the appropriate milestone agreed with the board.
•Work diligently to enhance and further improve the brand equity of PM as a business through networking, attending conferences, joining groups such as ICSC, etc, meetings.
•To create and maintain PM resource material and company statistics to be able to demonstrate such material to perspective clients
•To create tools to provide specialist advice and benchmarks across the managed portfolios in relation to their performance indicators, costs and other metrics.
•Fluency and reporting in English is critical

Professional competences:
